Billing & Cancellation Policy

1. Overview

This Billing & Cancellation Policy governs how Logbook PH charges for its subscription-based services and how customers may cancel or modify their subscriptions. By subscribing to Logbook PH, you agree to the terms described in this policy.

Logbook PH is a product of Puka Consulting. References to "Logbook PH," "we," "our," or "us" refer to Puka Consulting and its Logbook PH platform.

2. Subscription Model

Logbook PH operates on a per-store, per-month subscription model. Each active store location on the platform requires an active subscription.

Current Pricing (Essential Tier) Monthly Plan: ₱1,190 per store per month Annual Plan: ₱990 per store per month (billed annually) Pricing is in Philippine Pesos (PHP). Prices are inclusive of applicable taxes where required by law. We reserve the right to update pricing with a minimum of 30 days’ written notice to active subscribers.

3. Free Trial

New organizations are eligible for a 14-day free trial upon registration. No payment information is required to start the trial.

3.1 Trial Terms

  • The free trial period begins on the date of account registration.

  • Full platform features included in the Essential tier are accessible during the trial.

  • Only one free trial per organization is permitted.

  • We reserve the right to modify or discontinue the free trial offer at any time.

3.2 Trial-to-Paid Conversion

  • If you choose to subscribe at the end of your trial, billing begins on Day 15 of your account, anchored to your original registration date.

  • Your monthly billing anniversary date is set to the day of the month on which your trial started.

  • We will send a reminder email 3 days before your trial ends to notify you that billing will begin.

  • If you do not add a payment method before the trial ends, your account will be suspended and data retained for 30 days before permanent deletion.

Note: Example: If you register on March 5, your free trial runs March 5–18. Billing starts March 19. Your monthly billing date going forward is the 19th of each month.

4. Billing Cycle

All subscriptions are billed on a monthly cycle. Your billing anniversary date is established when your first paid subscription period begins (Day 15 of your trial, or the date of your first manual subscription if no trial was used).

4.1 Monthly Billing

  • Charges are applied automatically on your billing anniversary date each month.

  • You will be charged for all active stores at the time of billing.

  • An invoice will be emailed to the registered account email address on each billing date.

4.2 Annual Billing (where available)

  • Annual subscriptions are billed once per year at the annual rate.

  • Annual billing is calculated as: ₱990 × 12 months × number of active stores.

  • Additional stores added mid-year will be billed on a prorated basis for the remainder of the annual term, then included in the next annual renewal.

5. Adding Stores Mid-Cycle (Proration)

When a new store is added to your account after the start of a billing cycle, you will be charged a prorated amount for that store for the remainder of the current billing period.

5.1 How Proration is Calculated

  • Daily rate = Monthly subscription price ÷ number of days in the current billing month.

  • Prorated charge = Daily rate × number of remaining days in the current billing period (including the activation date).

  • From the next billing cycle onward, all active stores are billed together at the full monthly rate on the same anniversary date.

Note: Example: Your billing date is the 1st. You add a second store on the 21st of a 30-day month. You are charged for 10 remaining days: (₱1,190 ÷ 30) × 10 = ₱396.67. From the 1st of the following month, both stores are billed at ₱1,190 each.

5.2 Reactivating a Deactivated Store

  • Reactivating a previously deactivated store is treated as adding a new store.

  • A prorated charge applies from the reactivation date to the next billing anniversary.

6. Deactivating Stores

You may deactivate a store at any time through your Organization Dashboard.

6.1 Billing on Deactivation

  • When a store is deactivated mid-month, no credit or refund is issued for the remainder of the current billing period.

  • The store remains accessible (in read-only mode) until the end of the current paid billing period.

  • The store will not be included in the next billing cycle charge.

  • All historical data associated with the deactivated store is retained and accessible to Organization Admins for a period of 12 months after deactivation.

Note: Example: Your billing date is the 1st. You deactivate a store on the 15th. You are not charged for that store on the 1st of the following month. No credit is issued for the remaining 15 days of the current month.

8. Payment Processing

Payments are processed through our third-party payment processor, PayMongo. By subscribing, you authorize Logbook PH to charge your chosen payment method on the applicable billing dates.

8.1 Accepted Payment Methods

  • Credit and debit cards (Visa, Mastercard)

  • GCash and Maya (via PayMongo)

  • Other payment methods as made available through PayMongo

8.2 Failed Payments

  • If a payment fails, we will retry the charge up to 3 times over a 7-day grace period.

  • You will receive email notifications for each failed attempt.

  • If payment is not successfully collected within 7 days, your account will be suspended.

  • Data is retained for 30 days from the date of suspension. After 30 days, data may be permanently deleted.

  • You may update your payment method at any time through your Account Settings to prevent suspension.

8.3 Billing Errors

If you believe you have been incorrectly charged, contact us at support@logbookph.com within 30 days of the charge. We will investigate and issue a credit or reversal if a billing error is confirmed. Billing disputes raised after 30 days may not be eligible for reversal.

9. Cancellation Policy

You may cancel your Logbook PH subscription at any time. There are no long-term contracts and no cancellation fees.

9.1 How to Cancel

  1. Log in to your Logbook PH account.

  2. Navigate to Settings > Subscription.

  3. Select Cancel Subscription and follow the confirmation steps.

  4. You will receive an email confirming your cancellation.

9.2 What Happens When You Cancel

  • Your subscription remains active until the end of your current paid billing period.

  • You retain full access to all features and data until the period ends.

  • No further charges will be made after cancellation is confirmed.

  • Your organization data is retained for 30 days after the subscription end date before permanent deletion.

  • You may reactivate your subscription at any time during the 30-day data retention window to restore full access.

9.3 No Refunds

Logbook PH does not issue refunds for subscription fees already charged. This includes:

  • Cancellations made mid-billing period.

  • Stores deactivated mid-billing period.

  • Unused days remaining in a paid period.

We believe this policy is fair because: (a) we provide a 14-day free trial so you can evaluate the platform before paying, and (b) there is no contract or lock-in — you are never billed for a period you have not already used.

The only exception to this no-refund policy is a verified billing error (see Section 8.3).

10. Subscription Changes

10.1 Upgrading

If subscription tier upgrades become available, upgrades will take effect immediately. Any price difference for the current billing period will be prorated and charged at the time of upgrade.

10.2 Price Changes

  • We reserve the right to change subscription pricing at any time.

  • Existing subscribers will receive a minimum of 30 days’ written notice before any price increase takes effect.

  • Continued use of the platform after the notice period constitutes acceptance of the new pricing.

  • If you do not accept the new pricing, you may cancel before the effective date and retain access until the end of your paid period.

11. Taxes

Logbook PH operates in the Philippines and is subject to applicable Philippine tax regulations. Subscription fees may be subject to Value Added Tax (VAT) as required by the Bureau of Internal Revenue (BIR). Where applicable, VAT will be included in or added to the stated subscription price and reflected on your invoice.

Puka Consulting will issue official receipts (OR) for all transactions in compliance with BIR requirements upon request. To request an official receipt, contact billing@logbookph.com.
